We are currently searching for a professional to join our team and fill the role of Executive Assistant in Chicago, IL.


The Executive Assistant will provide a high level of active and independent administrative support to the Senior Vice President of Academic Affairs/Chief Academic Officer. Specifically, the Executive Assistant will develop the department budget, prepare correspondence and reports, track and maintain budget and other data, generate and run reports, maintain calendars and schedule meetings and appointments. In addition, the Assistant will coordinate travel calendars and arrange itineraries, prepare expense reports, process invoices and purchase orders and assist with the coordination and logistics of events.


Specific responsibilities include, but are not limited to:


* Assist with the planning and preparation of regularly scheduled meetings.

* Provide administrative support at the highest level and quality for meetings and functions of the Academic Affairs Committee of the Board of Trustees

* Summarize routine reports for academic affairs staff system-wide

* Provide wide-ranging administrative support to include supplies ordering, invoice/expense processing, reconciliation of purchase cards, and necessary communications internally and externally

* Opens and distributes mail for department; handles outgoing mail; answers routine correspondence for distribution over own signature and prepares correspondence for others signatures

* Answer and screen telephone calls, take messages, provide information, or redirect calls as appropriate

* Take and transcribe meeting minutes, creating daily agenda, and reception of visitors

* Oversight for complex scheduling and calendar management

* Perform special projects as assigned


This position requires excellent written communication skills (including consistent application of correct spelling, grammar, and punctuation), and a strong attention to detail, accuracy, and follow up in work product. Successful candidates will have the ability to handle complex phone inquiries and interact in a calm and supportive manner with diverse groups of faculty, staff, and students. This position requires a proactive individual who can effectively establish priorities, anticipate department administrative and support needs, and work in an organized manner with emphasis on detail and accuracy. It is essential this individual have the ability to work independently without close supervision and also as a member of a team, and have a high level of reliability, creativity, and commitment to maintain confidentiality.


Requirements


* Bachelor's degree preferred

* 3-5 years related experience required, with at least 2 years experience as an administrative assistant to a mid-to-senior level executive

* Advanced knowledge/skills with the Microsoft Office including Word, Excel, PowerPoint, database software and scheduling/organizing software

* Exceptional organizational and time management skills, and the ability to multi-task and maintain a high level of productivity and efficiency in a fast-paced environment

* Excellent written and oral communication skills
