Client Administration Specialist
The Client Administration Specialist reports to the Client Administration Manager and will work independently with the consulting staff to implement actions on client portfolios as directed by the consultant. The Client Administration Specialist will communicate with custodial banks, investment managers, and third parties in the discharge of their responsibilities. They will be assigned to specific customer relationships. Some minimal direct interaction with clients should be expected, but the majority of investment directions will come from within the firm.
Duties and Responsibilities
Some of the more common tasks performed by the Client Administration Specialist include:
o Implement new client accounts
+ Prepare all paperwork necessary to specific needs (custodial contracts, manager contracts, transfer forms, termination letters for existing managers, cost basis requests)
+ Other new client implementation processes
o Implement actions related to alternative investments
+ Prepare subscription documents and other materials
+ Prepare and coordinate capital calls to Private Equity and Private Real Estate investments
+ Prepare and coordinate wiring of funds to/from hedge funds and other limited partnerships
+ Communicate with fund companies for deadlines and closings
o Facilitate and track account transfers
+ Monitor transfers of cash/securities to ensure completion
+ Reconcile cost basis at new custodian
o Coordinate with custodial banks and separate account managers to establish client accounts
+ Send contracts and any supporting documents to the custodian
+ Send contracts and any supporting documents to the manager
+ Coordinate sub-account opening in specific foreign markets for global accounts
o Arrange movement of funds between client accounts, money managers and custodians
+ Request wire transfers
+ Implement trading instructions for ETFs and Mutual Funds
o Monitor, track and retain all paperwork as needed
o Other client portfolio duties and tasks as assigned
Qualifications
A strong candidate will have five or more years of professional experience in the financial services industry. Preferred candidates will have worked as a portfolio administrator or in an operational capacity at a RIA, family office, investment manager or brokerage firm. Prior experience working with external custodians, investment managers or 3rd party advisers will be viewed as an asset. Experience with and understanding of hedge fund and private equity fund investments is preferred. The Client Administration Specialist must have excellent communication and organizational skills. They must be process oriented and flexible. They must have a strong work ethic and the ability to work in both an independent and a team environment. Candidate must be able to prioritize workload and meet critical short term deadlines.
